Serial Numbers
Generate, import, and manage serial numbers across your product catalog. Serial numbers can be required during product registration to ensure only genuine products receive warranty coverage.
The serial numbers section has three pages: Upload, Inventory, and Batches.
Generating serial numbers
You can auto-generate serial numbers in bulk using custom naming templates.
- Select Generate as the input method.
- Set a prefix and format template (e.g.,
PRD-{0000}producesPRD-0001,PRD-0002, etc.). - Enter the quantity to generate.
- Use the instant preview to verify the output before generating.
- Optionally assign the batch to a specific product variant.
- Click Generate to create the serial numbers.
Generated serials enter the system as Available and appear on the Inventory page immediately.
Importing serial numbers via CSV
Use the Upload page to import existing serial numbers from a CSV file. Your CSV should contain one serial number per row.
During upload, a progress indicator shows total records, successful imports, and duplicates detected. Duplicate serial numbers are skipped automatically.
Printing registration cards
After generating or importing serial numbers, you can print registration cards that include a QR code linking to your product registration form. Include these cards in product packaging so customers can register on purchase.
Inventory page
The Inventory page shows every serial number in a searchable, paginated table.
Each record shows the serial number, status, associated product, batch, and creation date.
- Search by serial number
- Filter by status
- Sort by any column (default: newest first)
- Pagination shows 50 items per page (adjustable 10-100)
Serial number statuses
| Status | Description |
|---|---|
| Available | Ready for use in a product registration |
| Registered | Linked to a product registration |
| Expired | Past its validity period |
| Revoked | Manually invalidated by an administrator |
| Reserved | Held for a specific purpose or customer |
Batches page
The Batches page shows the history of all serial number uploads.
Each batch record shows the batch ID, record count, status (complete, processing, or failed), and upload date. You can search by batch ID and sort by any column.
How serial numbers work with registrations
- Upload serial numbers via CSV on the Upload page.
- Serial numbers enter the system as Available.
- When a customer registers a product with a serial number, the system validates it against your inventory.
- If valid and available, the serial number moves to Registered and the registration proceeds.
- If not found, expired, or already registered, the registration is rejected or flagged for review.
